Terms of Service

1. Acceptance of Terms
By accessing or using Invoxora ("the Service"), you agree to be bound by these Terms of Service with Invoxora. If you do not agree to these terms, do not use the Service. These terms apply to all users, including workspace owners, team members, and submitters.

2. Description of Service
Invoxora is an invoice processing platform that enables users to upload or forward vendor invoices, extract data using AI, review extracted fields, and synchronize approved bills to QuickBooks Online. The Service is designed for bookkeepers, accountants, and business owners who use QuickBooks Online.
3. Account Registration
You must provide accurate and complete information when creating an account. You are responsible for maintaining the security of your account credentials and for all activities that occur under your account. You must notify us immediately of any unauthorized use.
4. Subscription and Billing
Invoxora offers a free tier with a one-time allowance of 20 invoices per workspace, and paid subscription plans (Pro, Business, Agency) with monthly invoice limits. Paid plans are billed monthly and attached to the organization, not individual users.
- Pricing is flat and predictable — no credit-based pricing, no add-on charges
- You may upgrade or downgrade your plan at any time from your organization billing page
- Cancellation is self-service and takes effect at the end of the current billing period
- Refund requests are reviewed by our merchant-of-record provider, Creem, and by Invoxora support according to this policy
5. Refunds, Cancellations, and Support
You may cancel a paid subscription from the organization billing page. Scheduled cancellations keep paid access active through the current billing period unless the billing provider requires an earlier termination for fraud, dispute, or compliance reasons.
Partial-month refunds are not automatic. If you believe a charge was made in error, contact support@invoxora.com within 14 days of the charge. We aim to acknowledge billing and support requests within 2 business days and resolve standard billing questions within 5 business days. Approved refunds are processed through Creem and may take additional time to appear on your payment method.
6. Acceptable Use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any applicable laws
- Upload malicious files, malware, or content that could harm the Service or other users
- Attempt to gain unauthorized access to the Service, other accounts, or connected systems
- Reverse engineer, decompile, or disassemble any part of the Service
- Use the Service to process documents that are not legitimate business invoices or receipts
- Exceed your plan's invoice limits through automated or programmatic means
7. Data Ownership
You retain ownership of all invoice documents and data you upload to the Service. By using the Service, you grant us a limited license to process, store, and transmit your data solely for the purpose of providing the Service. We do not claim ownership of your content.
8. QuickBooks Online Integration
The Service integrates with QuickBooks Online via Intuit's official OAuth 2.0 API. You authorize the connection and control what data is synced. Invoxora only pushes invoice data that you explicitly approve through the review workflow. We are not responsible for changes Intuit makes to the QuickBooks Online API that may affect the integration. You can disconnect QuickBooks Online from organization settings.
9. Accuracy and Review Responsibility
While Invoxora uses AI to extract invoice data, extraction is not guaranteed to be 100% accurate. The Service is designed with a human-review-first approach — nothing syncs to QuickBooks without your explicit approval. You are responsible for reviewing and verifying extracted data before approving it for sync.
10. Service Availability
We strive to maintain high availability but do not guarantee uninterrupted access. We may perform maintenance, updates, or modifications that temporarily affect availability. We will provide reasonable notice of planned downtime when possible.
11. Limitation of Liability
To the maximum extent permitted by law, Invoxora shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities. Our total liability for any claim shall not exceed the amount you paid for the Service in the 12 months preceding the claim.
12. Termination
You may terminate your account at any time through your organization settings. We reserve the right to suspend or terminate accounts that violate these terms. Upon termination, your data will be deleted within 30 days unless retention is required by law.
13. Regulated Financial Services
Invoxora is SaaS for invoice intake, document extraction, human review, and customer-approved accounting workflow automation. Invoxora is not a bank, lender, money transmitter, payment processor, tax filing service, payroll provider, or investment adviser. The Service does not move customer funds or make accounting, legal, tax, or financial advice decisions for you.
14. Changes to Terms
We may modify these Terms from time to time. We will notify you of material changes via email or through the Service. Continued use after changes constitutes acceptance. If you disagree with updated terms, you may close your account.
